Campus Office Manager

Position Description

  • CAA operates out of two different offices: our campus office at the University of MN and our community office on 1st Ave S. and Franklin Ave. Organization of each office and communication between the two offices are essential to the daily operations of the organization. The Campus Office Manager is responsible for the smooth, effective and efficient day-to-day administration and operation of the office support services.

  • Provide necessary administrative support to staff and volunteers.
  • Create a functional working environment for staff and volunteers.
  • Improve CAA's internal communication and information sharing.

Responsibilities and Duties

  • Be responsible for general organization, maintenance and cleanliness of CAA's on campus office.
  • Order and keep track of all necessary office supplies and equipment.
  • Communicate with Community Office Manager to develop an efficient system for sharing information between both of our offices.
  • Manage and organize all CAA shared and hard-copy files.
  • Create and maintain a schedule for staff and volunteer office hours.
  • Update physical and online calendars including CAA's Google Calendar with any upcoming meetings, events, etc.
  • Delegate responsibilities and tasks to CAA volunteer office assistants.
  • Make updates to CAA's website as needed.
  • Function as a support for staff including those working on projects outside the office.
  • Act as a receptionist when necessary and relay messages to the appropriate party.
  • Manage office signage.
  • Manage security of office.
  • Act as main contact for University in case of emergencies, repair requests, etc.

Qualifications Desired

  • Strong computer skills, including proficiency in all Office applications (Word, Excel, Powerpoint, Outlook, and Access).
  • Strong database setup, data-entry and manipulation experience.
  • The ability to set, manage and meet deadlines.
  • Impeccable organizational skills and the ability to multi-task.
  • Excellent writing and verbal communication skills.
  • Prior office management experience is preferred.

Time Commitment and Evaluation

  • This position lasts six months and may be renewed.
  • This position is for 6-8 hours/week. Two of these hours must be spent working from one of our offices (this may be negotiable). Additional time is at your discretion.
  • You performance review will occur three months from your starting date.
  • Your supervisor will be Executive Director, Unny Nambudiripad.
  • You will be working from our University of MN office in Coffman Memorial Union Room 226A 300 Washington Ave SE Minneapolis, MN 55455.
